This Refunds & Revisions Policy applies to all translation, transcription, interpretation, certification, notarisation, apostille, legalisation, and related language services supplied by Certified Visa Translation (“we”, “us”, “our”, or “the Company”).

By placing an order with us, you agree to the terms set out below.

1. Bespoke Nature of Our Services

All translation, transcription, certification, and related language services provided by Certified Visa Translation are bespoke services prepared specifically for the Client’s individual requirements.

This means each project is customised according to the documents, language pair, deadline, formatting requirements, certification needs, and instructions provided by the Client.

As these services are personalised and cannot be resold or reused once prepared, special refund limitations apply.

2. Refund Policy

Once work has started, no refund is available.

This is because every translation, transcription, certification, or related service is a custom-made service prepared specifically for the Client. Once our linguists, project managers, reviewers, or other service providers begin work, time and resources are immediately allocated to the project.

This includes, but is not limited to:

  • Translation work
  • Transcription work
  • Formatting and file preparation
  • Certification preparation
  • Quality checks
  • Project management
  • Linguist allocation
  • Notarisation, apostille, or legalisation arrangements
  • Urgent or priority scheduling

3. Cancellation Before Work Starts

If you request cancellation before work has started, we may review the request at our discretion.

Any refund, partial refund, or cancellation approval will depend on whether resources have already been allocated, whether the file has been reviewed, whether the linguist has started work, and whether any external costs have been incurred.

We reserve the right to deduct any reasonable administrative, banking, card processing, project management, or third-party costs already incurred.

4. Urgent and Same-Day Orders

For urgent, same-day, next-day, or priority orders, work may begin immediately after payment or written approval.

Because resources are allocated quickly for urgent projects, cancellation and refund requests are unlikely to be accepted once the order has been confirmed.

By placing an urgent order, the Client accepts that the project may start immediately and that no refund will be available once work has begun.

5. No Refund for Change of Mind

Refunds are not available where:

  • The Client changes their mind after work has started
  • The Client no longer needs the translation
  • The Client provided the wrong document
  • The Client provided incomplete or incorrect instructions
  • The Client selected the wrong service
  • The Client’s deadline or requirements changed after confirmation
  • The Client obtained the service elsewhere after placing the order
  • The translation is no longer required by the receiving authority

Clients are responsible for checking their documents, requirements, spelling of names, certification needs, and delivery instructions before confirming an order.

6. Revisions and Corrections

We aim to provide accurate and professional work. If you believe there is an issue with the completed work, you must notify us within ten (10) business days of receiving the completed file.

Revision requests must be sent by email to:

When requesting a revision, please clearly explain the issue and, where possible, provide supporting information or reference material.

7. Free Corrections

We will review and correct genuine errors free of charge where the issue relates to:

  • Typographical errors
  • Missing text from the source document
  • Clear mistranslation
  • Formatting errors caused by us
  • Incorrect names or numbers where the source document was clear
  • Certification details that need correction due to our mistake

Free corrections apply only where the issue is caused by an error on our part.

8. Revisions That May Incur Additional Charges

Additional charges may apply where the request is not due to an error by us.

This may include:

  • Changes to names, spellings, or terminology after the order has been completed
  • New instructions provided after delivery
  • Preference-based wording changes
  • Stylistic or tone preferences
  • Changes requested by a third party or authority after completion
  • Reformatting beyond the original agreed scope
  • Additional certification, notarisation, apostille, or legalisation requirements
  • Updates caused by the Client providing a revised or different source document
  • Amendments requested after the 10-business-day revision period

Translation involves linguistic judgement, and different qualified linguists may express the same meaning using different wording. Preference-based changes do not automatically mean the original translation was incorrect.

9. Authority or Third-Party Requirements

If an authority, solicitor, embassy, university, employer, government department, or other third party requests changes after delivery, we will review the request.

Where the change is due to an error by us, we will correct it free of charge.

Where the change is due to a new requirement, preference, wording request, formatting request, certification request, or additional instruction, extra charges may apply.

10. Client Responsibility

The Client is responsible for providing:

  • Clear and complete source documents
  • Correct spelling of names, addresses, and places where relevant
  • Any preferred terminology before work begins
  • Specific formatting or certification requirements before confirmation
  • Authority-specific requirements before placing the order
  • Clear delivery instructions

We are not responsible for delays, additional costs, or rejection caused by missing, unclear, incomplete, or incorrect instructions provided by the Client.

11. Delivery Delays

Refunds are not automatically available for delays caused by:

  • Late payment
  • Late approval
  • Unclear documents
  • Missing information
  • Client delays in responding
  • Changes to instructions
  • Third-party delays
  • Courier, postal, notarisation, apostille, or legalisation delays
  • Technical issues outside our reasonable control

Where a delay is caused by us, we will review the matter fairly and may offer an appropriate remedy at our discretion.

12. Printed Copies and Postage

Where printed copies, postage, courier services, notarisation, apostille, or legalisation services have been arranged, these costs are non-refundable once incurred.

We are not responsible for postal or courier delays once the documents have been dispatched.

13. How to Request a Revision

  • Your full name
  • Order or invoice number
  • The relevant document name
  • A clear explanation of the requested correction
  • Any supporting evidence or reference material

We will review the request and advise whether the revision can be completed free of charge or whether an additional fee applies.

14. Final Decision

Certified Visa Translation reserves the right to make the final decision on refund and revision requests, acting reasonably and in line with the nature of the service provided.

Nothing in this policy affects any statutory rights that cannot be excluded by law.
